It is being used across the entire organization. It streamlines and automates our expense reimbursement process while allowing us to have greater control over the process. We can enforce our fiscal policies in a much easier fashion and educate our employees on these policies at the same time through the system. It allows our users to submit/edit/approve reports from pretty much everywhere with the mobile app for iOS and Android.
  • The system is highly configurable to almost any business need.
  • The mobile app is extremely valuable for an organization that is spread across California and staff that are constantly traveling.
  • The Coupa expense system can integrate with nearly any software tool allowing for the great change management that exists in our organization.
  • Implementation using a third-party consultant was a mistake. Maybe we had the wrong consultants assigned to us but make sure you understand who is doing the implementation. Implementation is costly but extremely important.
  • We often can have small issues with approval chains and they are hard to figure out. If there was more information on how to understand approval chains without reaching out to support, it would help.
Coupa Expense is an amazing tool for any multi-state organization or business that has employees who constantly travel. I would recommend it for pretty much any business in any industry where you are looking to cut down on the time it takes for an expense report to be submitted, approved, and paid. It may not be the best product if you want to continue to waste paper, frustrate your employees by offering reimbursement weeks after they submit, or fail your audit because you are missing necessary approvals or are missing paper receipts.
  • Our staff have more time to spend teaching rather than worry about where their expense report is at in the process
  • The accounting team spends less time having to fix errors that existed in our old system. We no longer have to manually add user because it is all automated with our HR system.
  • The accounting team can easily review receipts and approve/reject reports. We are going to be better prepared for our annual audits due to our enhanced controls over Expense reporting with Coupa.
We used Replicon for many years prior to going with Coupa. Replicon lacked the dynamic approval process we needed for our complex organization. It did not integrate with our HR system and we had to manually add our users. When payments were made, there was no way for our users to know when they were going to receive payment. We could not go entirely paperless because the system could not save our reports electronically. Coupa solved all of these issues.
